1. Scheduling and Cancellations:

  • Cancellation Policy: At Fenris Fitness, we understand that life happens, and sometimes cancellations are unavoidable. However, to ensure fairness to all clients and maintain the integrity of our schedule, the following cancellation policies will apply:



  1. Cancellations Over 24 Hours Before Session: Clients who cancel more than 24 hours in advance will not incur any penalties.


2. Cancellations Within 24 Hours of Session: Clients who cancel with less than 24 hours' notice more than twice will be subject to a partial refund, reflecting the loss of time, and will be temporarily barred from booking any further services until an Accountability Contract is signed.


3. Accountability Contract for Repeat Cancellations Under 24 Hours: Clients who have a history of cancelling with less than 24 hours' notice will be required to sign an Accountability Contract before booking more sessions.


4. Repeat Violations: By signing the Accountability Contract, the clients agrees to attend all future sessions without cancellation under the 24 hour mark. If a cancellation occurs within the 24 hour mark, no refund will be provided, and the client will be permanently barred from booking future sessions.

Trainer Cancellation Policy: we hold ourselves to the highest standards of professionalism and respect for your time. As such, the trainer will adhere to the following cancellation policy:


1. Trainer Cancellations Over 24 Hours Before Session:

A. If the trainer needs to cancel a session, they will provide more than 24 hours' notice to the client. This allows ample time to reschedule or adjust plans as needed.


2. Trainer Cancellations Under 24 hours before session:

A. If the trainer cancels a session with less than 24 hours' notice, they will work with the client to promptly reschedule the session and ensure clients' time is respected.

B. If this situation arises, the trainer will take responsibility for the disruption and make every effort to accommodate the client in the near future.



2. Payment Policy:


  • Payment Methods: Payments for training services are due before or at the time of each session. We accept eTransfers only at this time.

  • Package Deals: For clients purchasing training packages, full payment is required upfront. Partial refunds may be requested for any unused sessions. - See cancellation policy for further details - 


3. Health and Safety:


  • Pre-Session Health Information: All clients are required to provide a health questionnaire or medical history before beginning personal training sessions. It is important to inform us of any injuries, medical conditions, or special considerations so we can tailor your program accordingly. During your initial session, the trainer will ask additional health-related questions to ensure that your program is tailored to your individual needs and health conditions. This is to ensure a safe and effective training experience.

  • Liability Waiver: All clients must sign a liability waiver before participating in any fitness sessions. This waiver confirms that you understand the physical demands of training and acknowledge the inherent risks associated with exercise.


4. Client Expectations:


  • Respect and Professionalism: Clients are expected to respect the trainer and fellow clients. Disrespectful behaviour or harassment will not be tolerated and may result in termination of services.

  • Punctuality: Clients are encouraged to be on time for scheduled sessions. If you are late, your session may be shortened to respect other clients’ schedules, and the full session fee will still apply.


5. Trainer Availability and Modifications:


  • Trainer Substitution: - Not available at this time - 

  • Program Modifications: We reserve the right to adjust or modify training programs as needed to ensure client safety, progress, and satisfaction.


6. Privacy Policy:



  • Confidentiality: All personal and health information provided by clients will be kept confidential and used only for the purpose of tailoring fitness programs to your needs. For more details, please refer to our Privacy Policy .


7. Termination of Services:


  • Client Initiated: You may terminate services at any time. If termination of services is over 24 hours' preceding next session, a full refund will be issued. If termination of services is under 24 hours' preceding next session, that sessions' rate will be deducted from the refund.

  • Trainer Initiated: Fenris Fitness reserves the right to terminate services at any time if a client fails to adhere to policies or engages in inappropriate behaviour. In such cases, unused sessions may be refunded or rescheduled at the trainer’s discretion.



8. Third-Party Consultation Policy: 



  • We prioritise the health and safety of our clients. If deemed necessary, we may request a consult with a clients' doctor, physical therapist, or any other healthcare professionals to ensure that any training program is tailored to meet your individual health needs.


  1. Request for Third Party consultation:

A. If a client has a medical condition, injury, or specific health concern that may impact their ability to safely participate in exercise, the trainer may request permission to consult with the client's doctor or physical therapist.

B. This consultation will only occur with the client's written consent and will be strictly for the purpose of ensuring safe and effective program design.


2. Client Responsibility:

A. It is the client's responsibility to inform Fenris Fitness of any relevant medical conditions, injuries, or treatments that may require third-party consultation before or during the training process.

B. If the client is currently working with a healthcare professional (e.g., physical therapist) it is encouraged to share any relevant reports or recommendations that could affect the training program.


3. Third-Party Consent:

A. In order for any consultation to take place, the client must sign a release of information form that gives Fenris Fitness permission to contact the doctor, physical therapist, or other relevant healthcare professional regarding their care.


4. No Consultation Fees:

A. Any thrid-party consultations will be at no additional cost to the client; Fenris Fitness will not charge any fees for reaching out to the healthcare professional directly. However, any charges from the healthcare provider for their time or services are the responsibility of the client.


9. Pet Policy During Trainer Visits


  • We adore your pets just as much as you do! However, for the safety and comfort of both your pets and our trainers, we kindly ask that pets be kept in a separate room while the trainer is present. While we know your pets are friendly, there is always a risk that they may feel unsure or protective in a new situation. Ensuring a safe environment for everyone is our top priority, and we want to make sure both your pets and our trainers are comfortable throughout the session.
